Position Summary:

The Office Administrative position is the initial point of contact for all personnel arriving in the office. Receiving calls and supporting the techs PO requests, this position will provide the needed support for the branch. Majority of the responsibilities of this position will be an administrative role including assisting the techs and sales team while maintaining the office needs. This position works closely with our corporate AP dept to ensure vendor invoices are accurately paid within the required time period.

Responsibilities:

  • First point of contact for anyone entering the branch
  • Maintain and Support all Service Customers
  • Provide Administrative assistance to field personnel by assisting tech calls with opening Purchase Orders
  • Maintain p-card reports and entry of p-card activities
  • Interface with customers and other departments as necessary to ensure successful completion of service.
  • Office supplies and equipment management
  • Manage A/P branch requirements
  • Assist vendor/ Toronto invoice transactions to ensure prompt payments
  • Provide support and backup for other administrative/inside sales duties as requested.
  • Support sales teams and book jobs
  • Maintain all Business Licenses
  • Perform other duties as assigned by Management.
  • Order kitchen supplies including coffee supplies

Experience:

  • 2-3 years administrative/reception experience
  • Excellent customer service skills.
  • Excellent verbal and written communication skills.
  • Proficiency in MS Office applications; Excel is essential.
  • Ability to exercise independent judgment and take initiative.
  • Ability to work effectively under pressure.
