Office Administrator

The Downtown Duncan Business Improvement Area is a not-for-profit society located in downtown Duncan, British Columbia. We are an association of businesses and commercial property owners within downtown’s commercial area who have joined together to promote the economic development of the district through various marketing, beautification, safety, and advocacy initiatives. With the support of the City of Duncan, our BIA is enacted through special legislation and is governed by a volunteer Board of Directors and funded through a member-based property tax levy. Our BIA is vibrant, energetic and on the move. Your role as Office Administrator is pivotal in keeping us on track, organized and productive!

You will be responsible for the smooth running of the DDBIA office. You will field telephone calls, deal with email enquiries, take meeting minutes, process invoices, manage internal retail sales (from the Square), prepare all financial records for the bookkeeping service, manage the physical facility, order supplies, receive and direct visitors, create spreadsheets, develop presentations and do filing. The office administrator is also responsible for office projects, tasks, and event administration. This is an extremely social role combined with a steady administrative load that requires focus, timeliness, and extreme attention to detail.

Qualifications

  • Extreme proficiency in Microsoft Office Suite – Outlook, Excel, PowerPoint and Word.
  • Five years minimum experience in an administrative role demonstrating progressive advancement in responsibilities (preferably in the private sector).
  • Strong and proven work ethic.
  • Punctuality and reliability.
  • Ability to problem solve and self-motivate.
  • Progressive and inclusive attitude and behaviours.
  • Ability to climb stairs, walk around downtown frequently for pickups and deliveries and lift and carry up to 30 pounds (from time to time).
  • A university degree in administration, business or humanities is preferred.
  • Some bookkeeping experience preferred.

Details

  • 30 hours per week (Monday through Thursday).
  • Start time 9:00 am to 4:30 pm (times are firm).
  • Two weeks holidays to begin moving to three weeks in year two.
  • Annual performance and salary reviews.
  • $24 per hour.
