The Brant Community Healthcare System (BCHS) Foundation is a not for profit organization responsible for raising funds in support of the Brantford General and Willett, Paris. The BCHS Foundation is an engaged partner to the BCHS and contributions made to the Foundation benefit the purchase of patient equipment, renovate spaces and provide investment in resources to enhance the exceptional care provided at the BCHS.

Position Summary

Effective September 7th, 2021 all applicants must provide proof of full vaccination against Covid-19 (in the form of watermark receipts from the provincial portal) or provide written proof of a medical or religious reason for not being fully vaccinated as per the provincial direction as set out by the CMOH Directive 6.

Reporting to Associate Director, Development, the Office Assistant is a key member of the BCHS Foundation team; providing day-to-day administrative and program support to team. This front-line support position is a positive, helpful and informed representative to our external and internal communities; including donors, visitors, hospital personnel, Board members and community leaders and ensures smooth functioning within the office.

Primary Responsibilities

Provide administrative support to management team including drafting letters, preparing presentations, and other duties, as requested.

Support the management team in scheduling meetings, including when necessary, canvassing participants for dates, booking meeting space, arranging technical requirements and refreshments.

Maintain accurate files and enter contact information, or other donor information/updates for development team in a timely and consistent basis into Raiser’s Edge database.

Assist Executive Director with preparation of materials for Board meetings and coordinating committee meetings.

Assist team when necessary by taking minutes at Board and committee meetings, as requested

Provide reception duties with a strong customer service focus for the office including answering phone and responding to questions from walk-in clients and represent the Foundation at all times in a professional manner.

Front line exemplary customer service of all donors and visitors, interacting and providing timely and friendly follow-up to hospital staff, medical professionals, Board members, donors, volunteers and external community.

Maintain and manage inventory of fundraising related materials and brochures and send out to stakeholders, as appropriate.

Support with donation processing in high volume times, as needed.

Maintain and ensure the integrity of confidential donor and general office (both electronic and hard copy) files.

Maintain all work orders for office

Assist development functions with the donor wall, ensuring donor recognition levels are maintained and donors are represented at appropriate levels of recognition.

Open and distribute daily mail
