Job Description


The Office of Corporate Services, Faculty of Health Sciences, is responsible for managing and overseeing the facilities and resources that support the academic and research missions of the Faculty of Health Sciences in its campus locations. The Department is also responsible for creating and maintaining a safe, clean, inspiring educational and research environment for its faculty, staff and visitors. This position reports to the Assistant Director, Operations, Office of Corporate Services, FHS.

The Office Assistant performs a variety of routine clerical/secretarial/reception duties following prescribed procedures and established guidelines.

Job Duties

Update and maintain files, correspondence and records.

  • Update iSpace database with correct people and locations to ensure accuracy
  • Data collection on physical space, requires travel within the faculty buildings
  • Archiving files from print media/hard copies to cloud backup via scanning

Schedule meetings, room bookings and appointments.

  • Assist FHS Room Bookings with room audits, counts of room booking usage, furniture replacement and checking for lights, etc. in FHS conference rooms in the Health Sciences MDCL buildings

Other Administrative Duties

  • Answer or redirect general inquiries in person or by telephone and e-mail.
  • Assist with mailings and ordering of supplies and office materials.
  • Copy, collate and assemble a variety of documents and packages for review.
  • Provide direct administrative support for events and meetings.
