Position Scope:

The Purchasing Administrative Assistant is responsible for document handling, system updating, order tracking, and other procurement-related tasks that support the goals and objectives of the purchasing department.

Job Responsibilities:

  • Review and process shipment packing slip.
  • Preparation, SKU Creation, and Entering of New and Replenishment of Purchase orders, and their confirmations.
  • General maintenance of existing products pertaining to price changes as well as discontinued products.
  • Communicate with logistics to ensure timely pick-up and delivery of products.
  • Update the internal database with order details (dates, vendors, quantities, discounts)
  • Issuing Purchase Orders to vendors and also working with the accounting department to resolve any Invoice/PO discrepancies.
  • Daily review of inventory.
  • Follow up with suppliers, as needed, to confirm or change orders.
  • Communicate all delays of products to the appropriate parties
  • Liaise with warehouse staff to ensure all products arrive in good condition.
  • Contact suppliers with quality issues.
  • Other duties relevant to the position will be assigned as required.

Qualifications, Skills & Experience:

  • Must be success-driven with strong organizational and strong attention to detail.
  • Excellent communication skills with the ability to prioritize multiple tasks in a busy environment.
  • Proficiency with MS Office applications (Outlook, Excel, Word) and working knowledge of ERP systems
  • Strong teamwork approach with the ability to work and cooperate with others to accomplish department and corporate goals and objectives.
  • A minimum of two (2) or more years of experience in purchasing preferred
  • Diploma in Business Administration or relevant experience
  • Positive attitude and willingness to learn.

Job Type: Full-time

Salary: $46,000.00-$53,000.00 per year

  • Secondary School (preferred)

Experience:

  • Administrative experience: 2 years (preferred)
  • Purchasing: 2 years (preferred)
