As the Reception and Administrative Assistant, you will be working full-time, Monday - Friday, primarily based out of our office in Vancouver, BC and reporting to our Head Office Management team and supporting the local management and office staff.

The successful candidate will possess very strong organizational and time-management skills, will be proficient in Microsoft Office Suite, and is comfortable learning and using new software systems. Communication (both written and verbal) are critical to success in this role; the incumbent of this position will need to demonstrate responsiveness and clear communication skills daily. To succeed in this role, the individual must have a background and/or education in office administration. We’re all young professionals, and are looking for an energetic, motivated, forward thinking, and driven individual to join our team.

Responsibilities

  • Reception duties and being the main point of contact for inquiries and administrative support for our operations.

Answering phone inquiries & relaying messages

  • Facilities coordination (opening, closing, and general oversight)
  • Creating social media posts and scheduling through Social Sprout
  • Organizing and maintaining documents (license applications/appointments)
  • Prioritizing tasks given by board members
  • Employee file management administration
  • Interacting with clients & staff
  • Maintaining the general upkeep of the premises
  • Assisting with administrative tasks from other departments
  • Transfer reports and relevant notes from WhatsApp into our internal and/or third-party software/system
  • Ensure that all external and internal communication is handled within the prescribed deadlines.
  • Support the local management team with reminders and check-ins on deliverables.
  • Support the head office team with systems administration as required.
  • Assist with general office administration.
  • Assist with ad-hoc projects and provide support as needed to the administrative and leadership teams.

Requirements
● Some post-secondary education in administration or related field.
● Preferably 1-2 years of administrative or related experience.
● Excellent English language skills (written and verbal).
● Able to work in our local office when required.
● High attention to detail.
● Excellent organizational and time-management skills.
● Excellent communication skills.
● Comfortable with Microsoft Office and general technology/software

Candidates must be available to work at the reception desk full time during regular business hours (9:00am-5:30pm) at 1385 West Broadway, Vancouver.

Job Types: Full-time, Permanent

Salary: $45,000.00-$50,000.00 per year
