Eastern Ottawa Resource Centre Gloucester, ON

Reporting to the Manager of Administration and Operations, the incumbent provides reception services to the clients and general public.

DUTIES AND RESPONSIBILITIES:

· Answer the Centre’s multi-line telephone system directing phone calls to appropriate programs or staff.

· Greet visitors, determines their needs and directs them accordingly in a supportive manner.

· Process and distribute mail daily

· Process outgoing courier requests

· Responsible for maintaining a tidy and well-organized reception area.

· Maintains statistical data of telephone calls and walk ins.

· Reviews and manages several incoming email accounts, as well as incoming faxes.

· Maintains room bookings at Gloucester site.

· Maintaining the MLS computer; helping individuals with computer related questions

· Ensures the EORC pamphlets are always stocked

· Prepare different closure posters for statutory holidays and for Staff Meetings.

· Ensure mail stamp machine is loaded with stamp money, and functional.

· Participates on the Communication team and the Social Media Committee

· Contribute to projects and assist with general administration as required.

· Contribute to production of internal and external communication material.

· Maintains and updates slides in reception area.

· Maintains and updates the different organization lists i.e employee anniversary dates, contractor’s information, equipment list, organizational chart.

Qualifications:

  • High School diploma or equivalency.
  • Minimum of two years of relevant work experience, preferably in a community-based social service agency.
  • Ability to manage challenging people & situations in a calm professional manner.
  • Advanced knowledge of MS Office Applications (Word, Excel, Powerpoint, Outlook, Data base), and in the use of office equipment.
  • A willingness to maintain high quality services, client centered services through superior organizational and problem solving skills.
  • Fluency in oral and written communication skills in English and French; skills in a third language desirable. French language skill is mandatory.
  • Excellent organizational and interpersonal skill with ability to multi task.
  • Ability to work in a team environment and in a multi-service centre.
  • Open-minded, possesses an egalitarian attitude towards gender, race, culture, sexual orientation, socio-economic status, etc.

Job Types: Full-time, Permanent

Salary: From $37,628.00 per year
