We are currently accepting applications for a Site Coordinator to work out of our Nanaimo construction site. The successful candidate will be responsible for providing accurate and efficient administrative support to the Site Superintendent, Project Managers, and Construction Managers. You will provide construction administration functions on site under the direction of the Site Superintendent and supervision of Site Coordination Manager. What you will be doing:

  • Provide construction administrative functions on site and in office under the direct supervision of the Site Superintendent;
  • Perform orientations for all new workers and employees;
  • Maintain office supplies & inventory as well as on site and online filing system;
  • Processing visa statement reconciliation;
  • Process site purchase orders and invoices ensuring all details cost code project invoices;
  • Prepare and process employee time cards;
  • Inspects shipments for damages or defects; records discrepancies or damages and notifies the supervisor and/or purchasing personnel;
  • Examine contents and compare with records, such as packing slips and purchase orders to verify accuracy of the incoming or outgoing shipment;
  • Sort, count, and organize materials for easy retrieval and log inventory which is shipped or received;
  • Compile records of unfilled orders and determine issues that need to be rectified;
  • Effective and prompt communication and follow-up on all pending matters with suppliers;
  • Checked specifications of materials loaded or unloaded against information contained on packing slips and work orders;
  • Protect and safeguard inventory and maintain high standards of housekeeping in respective areas;
  • Ensure safety procedures are being followed and safety protocols regarding yard storage;
  • Support supervisors, to ensure that the shippers, lift trucks, and truck drivers are following all on site safety procedures and policies;
  • Maintaining and scheduling BC One Calls and DigShaw calls and documentation throughout entirety of project, ensuring that civil contractors have a current copy at all times;
  • Maintaining personal protective equipment and first aid inventory and supplies;
  • Provide safe working environment to employees and trades through daily site inspections, hazard identification, worksite observations and documentation on Salus;
  • Monitor subtrade safety documentation compliance;
  • Preparing and documenting monthly and weekly safety meeting agenda and preparing meeting minutes as required;
  • Assist in weekly toolbox talk (topics of safety items noted during the week);
  • Maintaining site safety and office safety board with all pertinent information updating as site progresses;
  • Maintaining and updating Site Emergency Response Plan and Fall Protection Plan;
  • Ensuring Safety Data Sheets are collected from all hazardous materials on site;
  • Monthly fire extinguisher & radio checks;
  • Fuel tracking and documentation;
  • Ensuring companies site employees’ certificates are kept up to date;
  • Other related duties as required.

What you need to bring:

  • Minimum of 3 years administration experience, preferably within the construction industry;
  • Proficient computer skills in MS Word, Excel and outlook;
  • Ability to lift up to 50 pounds occasionally;
  • Must be flexible and versatile and able to work in high-pressure environments;
  • Excellent information gathering and information monitoring skills;
  • Foster a spirit of teamwork and unity among team members that allows for conflict resolution, integrity, supportiveness and working effectively together to enable employee and departmental success.

Extras we like to see:

  • Understanding of accounting procedures is an asset;
  • Knowledge of standard site practices and procedures an asset;
  • Safety experience highly desirable.
