Administrative Support Assistant

The Muskrat Falls Monitoring and Health Management Oversight Committee (MHMOC) is looking for a skilled Administrative Support Assistant to support our important mandate – the health of indigenous and local communities in Labrador. Who we are

Our mission is to provide recommendations for adapting a community-based methylmercury monitoring program from existing monitoring programs on key indicators such as water, plankton, fish, and other wildlife species; to provide ongoing oversight of the implementation of the monitoring program; and to develop benchmarks for the interpretation of monitoring results.

Our committee will develop health-related advice, particularly where environmental changes indicate adverse health effects and information for health protection of the local communities on the importance of highly nutritional country food and to disseminate that public health information through the Indigenous organizations or governments and municipal governments.

Engagement Type: One year contract (potential for renewal)

Hours: 20 hours per week on average

Location: Happy Valley-Goose Bay, Labrador NL

Compensation: $24.00 per hour up to a maximum of $25,000 per year (exclusive of HST)

How you will support

Working under the direction of the Independent Chair, the Administrative Support Assistant is responsible for the administration and operation of the Muskrat Falls Monitoring and Health Management Oversight Committee (MHMOC). This position involves responsible technical and administrative work carried out in support of the Independent Chair and other members of the MHMOC.

The Administrative Support Assistant is required to exercise considerable initiative in establishing and maintaining an office, organizing travel, arranging committee meetings, recording and distributing minutes, assisting with the preparation of reports and other written materials, and providing administrative assistance and support to the Committee members.

Your task and responsibilities

· Set up office and purchase equipment and supplies;

· Develop and maintain a filing system;

· Help develop and administer professional services contracts, including research, communications and website development services;

· Review and/or prepare invoices and keep detailed financial records;

· Organize and schedule meetings (in person or tele/web conferences), prepare and circulate meeting materials, and take detailed minutes;

· Book travel and other arrangements for in person meetings of the MHMOC, MHMOC members, and MHMOC Chairperson;

· Answer and direct phone calls, and provide general support to visitors;

· Manage mail, both paper and electronic;

· Write and distribute email, memos, letters, faxes and forms;

· Assist in the preparation of reports, proceedings and other written materials;

· In collaboration with the MHMOC, its subcommittees and working groups, assist in the preparation and circulation of updates to the public;

· Update content for the MHMOC website as required; and

· Provide general office and other administration duties as required.

What we are looking for

Education: Completion of a pertinent post-secondary education program is required. Educational training in science is an asset.

Experience: Considerable experience in responsible administrative and secretarial work. Must be proficient in use of word-processing software with experience in desktop publishing and spreadsheet (e.g., EXCEL). Excellent communication, time management, and organization skills are required.

Preference will be given to candidates with experience working with Indigenous communities in Labrador.

Supervision: The position will report to the Independent Chair of the MHMOC. The position requires a significant ability to work and plan independently. The following areas of work are reviewed on a regular basis: the accuracy, composition and format of typed documents prepared for the Independent Chair and for Committee members; the effective and successful co-ordination of meetings; and the ability to maintain a filing system that ensures timely and efficient access to information.
