Reception includes: This is the 1st face clients and delivery folks see when entering the office, and usually the 1st to pick up the phone. Greeting clients and offering a beverage is the main task for welcoming clients, and then the financial advisor will bring the client into the meeting room. Taking messages, transferring phone calls, distributing faxes and mail as they arrive, arranging courier pick-ups as needed, dropping off mail in mailbox within 1 block of office daily. As we’re a relatively small office, we don’t have folks coming in more than a few times per day, so the “reception” aspect is not extremely busy.

Operations would include: Ordering/arranging office supplies as needed. Filing office invoices (once we’ve paid them) for future reference in case we need them, making notes in our CRM system as needed, occasional trip to the post office for rolls of stamps, grocery store for dairy for the coffee, hand washing coffee mugs following a client meeting, bringing cardboard recycling into parkade recycling room as needed (weekly-ish).

Mutual funds administration and training for insurance administration: Training provided on data entry of mutual fund paperwork into the online system we use for client updates and transactions. Admin roles are also important in scanning investment paperwork before it’s data-entered to ensure everything is dated, signed by the correct financial advisor (essentially, dot the I’s, cross the t’s, so to speak). It is necessarily precise work, detail orientation is important. Along with data entry, we must image paperwork, fax to head office, follow-up on transactions in a few days to ensure they’ve been executed properly. Our licensed advisors write life, critical illness, disability, and group insurance… administrators assists in running insurance illustrations before these meetings, crossing the t’s and dotting the i’s once applications have been written, and following up with underwriters while applications are in progress which can sometimes take a few weeks.

Part-time hours: 24-30 per week

Salary: From $25.00 per hour
