LaPrairie Crane, a member of LaPrairie Group of Companies, is one of Canada’s largest independent mobile-crane companies with fleet capabilities ranging from 18 – 650 tons, including all terrain, boom truck, carry deck, crawler, hydraulic truck, rough terrain, and tower cranes.

LaPrairie Crane is currently looking for a full-time Facility Administrator to join its team in Fort St. John, BC. The ideal candidate is enthusiastic, organized, adaptable and enjoys working in a fast-paced and multi-tasking environment.

Duties include, but are not limited to:

Quotes/Billing*

  • Assist in dispatching jobs under the direction of Branch Manager.
  • Creating quotes for crane services in Fort St. John, Prince George, Tumbler Ridge BC and Yukon Territory.
  • Provide pricing & quote accuracy information to customers and request of purchase orders for updating in Asset Manager Program
  • Maintaining and ordering supplies for office, office equipment and other office related requirements.
  • Creating job numbers for Crane Operators/Managers
  • Approval of Billing under the direction of Manager- through weekly conference calls
  • Verifying and sending priced Field Orders to Customers for signature verification
  • Submit priced Field Orders to the AR department for invoicing
  • Daily review / processing and electronic filing of data
  • Assist with Intercompany recharges for mechanical work done on third party equipment.
  • Attend conference meetings for AM Review of bi-weekly billing
  • Maintain Customer relations
  • Maintain Field Order reporting requirements and estimates as required.
  • Produce customer reporting requirements, as requested.

Time keeping

  • Reviews total hours worked by employees submitted daily – checking for accuracy and punctuality
  • Assists processing of personnel documentation for new hires
  • Reviews with Manager for approval and send to Payroll for processing- weekly basis.
  • New hire information collection and transmittal to Payroll/Bamboo.
  • Assist with maintaining personnel certifications, training and orientations in Workhub.

Other

  • Administration duties, including handling phone calls, mail, filing, organizing office supplies
  • Prepare and complete packages for delivery outbound or inbound shipments – load/pack/wrap/label/ship
  • Responsible for any other work projects or tasks directed by Managers or other authorized personnel
  • Assist with equipment registration/plating requirements and updates.

  • Strong attention to detail
  • Ability to multitask and prioritize
  • Excellent communication and people management skills
  • Excellent organizational and time management skills
  • Proficiency in Microsoft Office
  • Self-starter with strong problem-solving skills

Qualifications

  • 2-5 Years’ experience in a similar role
  • Experience with similar industrial related dispatch and billing tickets/PO requirements
  • Project Management training considered an asset
  • Experience in complex, fast paced and competitive environments
  • Adequate knowledge of cranes, special transport execution and equipment
  • Excellent customer service, organization, critical thinking, and interpersonal skills
  • Experience in transport permits for equipment in Western Canada is an asset.
