MEMBERSHIP SERVICES COORDINATOR

Position Summary:
The Membership Services Coordinator is the main point of contact for members and guests. It is their role to ensure that the members and guests are taken care of with the highest level of customer service.
This position will be responsible for daily administrative duties as well as cover many different areas as listed below. The duties listed below are a summary of the responsibilities of this position but are not limited to these duties only.

Key Responsibilities - Administrative Duties

  • Assists in reconciliation of cash and accounts receivable charges to daily register at the closing of each day.
  • Represent the Club and team, and as first point of contact, project a positive/professional image
  • Provide superior customer service to all members, guests, and customers by responding professionally and promptly to all inquiries/requests (via phone, email, letter, and in person)
  • Operate and maintain a multi-line telephone system
  • Deliver high levels of service (to internal, external, and board of director contacts) and responds to all inquiries/requests with a sense of urgency
  • Process, date stamp and distribute incoming mail
  • Ensure supplies are stocked and all office machines are in good working condition, place orders and service calls as required
  • Perform member account maintenance, ensuring all information is accurate and up to date in the Jonas database, Clubhouse website, and other systems used by the Club
  • Assist managers and others with creating, proofreading, and updating marketing, social media and act as go-to for weekly member newsletters
  • Prepare membership reports for the Board of Directors as requested
  • Assist with the onboarding and retention of members
  • Perform other duties as assigned

Key Responsibilities - Accounts Receivable

  • Accurately and efficiently perform accounts receivable tasks as per required timelines, including preparation of monthly statements and processing of payments (cash, debit, credit cards, EFT, and cheques)
  • Respond quickly and professionally to all member, guests, and team inquiries and requests
  • Accurately enter and audit member and employee chits in the Jonas system for future invoicing
  • Perform regular review of accounts to identify overdue payments, generate reports and follow up on payment as required
  • Prepare bank deposits
  • Process billings for all golf and events at the Club
  • Identify opportunities to improve the effectiveness and efficiency of AR processing

Salary: $18.00-$22.00 per hour

Education:

  • Secondary School (preferred)

Experience:

  • Front desk: 1 year (preferred)
  • Administrative experience: 1 year (preferred)
